The Branch Coordinator in Kelowna plays a key role in supporting seamless dealership operations. Working with the Operations Manager, you'll handle parts support, shipping and receiving, yard maintenance, and deliver outstanding customer service. This dynamic role is perfect for someone organized, proactive, and eager to make an impact in a fast-paced environment.

Key Responsibilities:
- Provide exceptional customer service at the parts counter, by assisting customers and technicians with inquiries and transactions, shipping and receiving of inventory, lookup, and sourcing of parts.
- Assist team members de-escalate difficult customer calls, as needed.
- Assist walk-in customers and facilitate onsite equipment viewings.
- Liaise with vendors and contractors and assist with scheduling and maintain accurate appointment logs and service records.
- Promote and maintain a safe working environment complying with all health and safety policies, procedures and legislation by being an active member of the safety committee.
- Assist all departments to ensure work orders are closed and invoiced.
- Assist the rental department by coordinating the preparation of rental equipment for pick-up and delivery, creating contracts, invoicing customers, and documenting returns (including taking pictures, completing inspection reports, and documenting damage when needed).
- Use dealership equipment and resources safely and proficiently.
- Perform general clerical tasks and coordinate communication between rentals, parts, yard, and service departments, handling emails and phone inquiries, including collecting payment from customers.
- Other responsibilities as assigned.
Knowledge, Skills and Abilities:
- Able to take directions from management and work independently to support business operations.
- Highly confident and able to make sound decisions.
- Must be able to communicate professionally with internal teams and with customers.
- Ability to operate heavy equipment and forklifts.
- Ability to drive a vehicle to assist with deliveries, when required.
- Must have good time-management skills.
- Ability to use Outlook, Microsoft Teams, and other Customer Relations Software. Experience with Tinnacity a plus.
- Physical capability to perform manual tasks, stand for prolonged period of time, lift 50 pounds, climb stairs or ladders, climb into and operate equipment, use other equipment such as power wash.
- Able to work in an environment with frequent exposure to the elements.
- Must be a team player, and have a thoughtful, and friendly team focused approach.
Training, Education and Experience:
- Previous experience working in a Parts Department, experience working in an automotive or dealership, a plus.
- Red Seal certification considered a plus.
- Experience working in a busy work environment, assisting customers, problem solving and providing exception service.
- Familiarity with inventory systems or parts management software is preferred.
- Equipment operation experience (forklifts, construction equipment, or other). Additional training will be provided as needed.
- Must have a valid driver’s license and a clean driving record.
- High School Diploma.

Working Conditions: The Branch Coordinator is based out of the Kelowna office and works 40 hours on average per week Monday to Friday.
